We are recruiting the Personal Assistant for a private family (m/f/d) in a full-time and permanent contract.

Position Overview:

The Personal Assistant for a private family will serve as a key partner and trusted advisor, providing high-level administrative and strategic support. This role requires exceptional organizational skills, discretion, and a proactive mindset to ensure seamless operations in a fast-paced, global business environment.

Key Responsibilities:

  1. Administrative Support:
    • Coordinate and prepare for meetings, including agenda creation, materials preparation, and follow-up.
    • Handle confidential correspondence and communications on behalf of the family.
    • Manage and maintain the family’s calendar, including scheduling meetings, appointments, and travel.
  2. Project Management:
    • Assist in managing strategic initiatives, tracking progress, and ensuring timely completion of deliverables.
    • Collaborate with internal teams to gather data, prepare reports, and support decision-making processes.
    • Oversee special projects and ad hoc tasks as assigned by the family.
  3. Communication and Liaison:
    • Serve as the primary point of contact between the family and internal/external stakeholders.
    • Facilitate clear and effective communication, ensuring timely responses and actions.
    • Represent the family professionally in all interactions.
  4. Operational Support:
    • Maintain organized records and filing systems for key documents.
    • Prepare high-quality presentations, reports, and documentation.
    • Anticipate the family’s needs and provide proactive support to streamline daily activities.
  5. Travel Coordination:
    • Arrange complex international and domestic travel itineraries, including accommodations, transportation, and visas.
    • Ensure travel plans align with the family’s schedule and business priorities.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Bilingual French/English as a minimum.
  • Minimum of 5 years of experience as an Executive Assistant, preferably supporting C-suite executives in a small global organization.
  • Exceptional organizational and time management skills, with the ability to prioritize effectively.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom).
  • Experience coordinating international travel and managing multiple time zones.
  • Discretion, confidentiality, and professionalism in handling sensitive information.
  • A proactive, resourceful, and problem-solving mindset.
